Trip Finalization and Mileage

How mileage and cost are recorded once a Transportation Request is complete.

Once a trip is done, a Transportation Request in Pending Finalization is completed by recording mileage.

Recording mileage

Finalizing a trip means entering:

  • Departure Mileage — the vehicle's odometer reading at the start of the trip.
  • Return Mileage — the odometer reading at the end.

FMX calculates the total mileage for the trip as the difference between the two. This is recorded per trip — FMX doesn't keep a continuous, real-time odometer log outside of what's captured at finalization.

Cost

If your organization tracks a mileage rate (a cost per mile, either a single organization-wide rate or a rate specific to the vehicle), the trip's cost is calculated from the mileage you record.

Whether you'll finalize trips yourself

Whether drivers finalize their own trips or facilities staff do it depends on your organization's settings — finalization can be enabled or restricted independently of driver and vehicle assignment.

A worked example

A driver takes a vehicle out with an odometer reading of 42,150 miles and returns with a reading of 42,210 miles. Entering those two numbers at finalization gives a trip distance of 60 miles. If the organization has a mileage rate of $0.65/mile set, the trip's recorded cost comes out to $39.00.
