How to book a vehicle and driver for a trip, and what happens after you submit.
A Transportation Request is how you book a vehicle and driver for a trip.
Submitting a request
Fill in the details of the trip you need — your organization's specific fields may vary. Once submitted, your request moves through a lifecycle similar to a Work Request.
Stages a request moves through
| Stage | What it means |
|---|---|
| Pending Approval | Waiting for someone to approve the trip, if your organization requires approval. |
| Pending Assignment | Approved (or no approval needed) and waiting for a driver and/or vehicle to be assigned. |
| Pending Finalization | The trip has happened and is waiting on mileage and cost details to be recorded. |
| Finalized | Complete. |
A request can also be Declined, Canceled, or Deleted instead of following the normal path.
Assignment
Depending on your organization's settings, a Transportation Request can have a driver assigned, a vehicle assigned, or both. Not every organization uses both — driver assignment and vehicle assignment are each controlled independently, so your account may only use one.
Once assigned, a Trip Ticket can be printed showing the driver and vehicle for the trip.
After the trip
Once the trip is complete, it moves to Pending Finalization until departure and return mileage are recorded. See Trip Finalization and Mileage for how that works.
