Work Tasks

Overview of the Work Tasks module — recurring, staff-scheduled maintenance work.

A Work Task is planned maintenance — the recurring inspections, servicing, and upkeep your facilities team schedules in advance, rather than something reported as it comes up.

How this differs from Work Requests

Work Requests are ad-hoc: a building occupant reports a problem, and it moves through an approval-and-assignment process. Work Tasks are the opposite — they're set up by facilities staff ahead of time on a recurring basis (for example, "inspect the rooftop HVAC unit every 3 months"), and the system generates individual occurrences automatically as they come due.

Work Tasks are staff-facing only. Building occupants don't create or see them the way they can with Work Requests.

What generates a Work Task

A Work Task can repeat on two kinds of triggers:

  • Time-based — a fixed or recurring schedule, like weekly, monthly, or annually.
  • Meter-based — tied to equipment usage, like "every 500 run-hours."

Each time a Work Task comes due, it produces an occurrence — a single instance of that task with its own due date and its own status. See Work Task Occurrence Statuses for how occurrences move from due to complete.

Whether your organization uses this

Work Tasks can be enabled or disabled per organization, and permissions for who can view, assign, or execute occurrences are configured per user type — so what you see here may not match every account.
